Auction House and Art Gallery Logistics Manager, Sydney – Job posting

ROLE | FULL TIME

HOURS: 9:00 a.m. to 5:00 p.m. Monday to Friday, with participation in evening auctions, weekend exhibitions and related activities as needed.

TERMS OF EMPLOYMENT: Full-time permanent, subject to a six-month probationary review.

SALARY: Based on experience plus 9.5% retirement pension.

BEGINNING: Immediate start with flexibility for the right candidate.

ABOUT THE ROLE

Smith & Singer is seeking an experienced, proactive and solution-oriented candidate to oversee logistics operations for its Sydney gallery. Reporting to the CEO, this exciting and dynamic role is responsible for all inventory and inventory management and for holding exhibitions, auctions and other events at the highest level.

The successful candidate will be positive, have exceptional attention to detail and be highly organized with an ability to take initiative and multi-task under pressure while maintaining flexibility, patience and a friendly attitude.

This is a full-time position, 9am-5pm Monday-Friday, with participation in evening auctions (approximately six per year), weekend shows and related activities as required .

MAIN RESPONSIBILITIES:

  • Oversee and manage logistics, storage and inventory requests.
  • Coordinate local and international shipping for tours, exhibits, special installations, clients and collectors.
  • Manage and organize weekly shuttles between galleries and local storage.
  • Oversee and coordinate local inventory transfers for photography, framing and conservation between galleries and other external vendors.
  • Deliveries and installations to customers on request in the company’s delivery truck (driver’s license required).
  • Conduct inventory storage audits regularly to ensure accurate records and develop streamlined internal communication.
  • Monitor sold and unsold artworks with admin and specialists.
  • Managing interviews, bookings, direction and training of casual staff for installations, deliveries/collections and other logistical requirements in consultation with the Gallery Manager.
  • Assist with cataloguing, inventory, condition reporting and other tasks under the direction of specialists, as requested.
  • Responsible for preparing and setting up internal and external auctions and the gallery for tours and exhibitions, as well as training and supervising occasional installation staff working in the gallery, hall of sale and the reserve.
  • Assistance during operation auctions as needed.
  • Other tasks on request.

SKILLS / QUALIFICATIONS REQUIRED

  • Appropriate experience in shipping or logistical work of art in an international art gallery, museum, art shipper or auction house.
  • Knowledge of proper techniques/procedures for handling, transporting, installing and storing works of art and high value objects.
  • A strong appreciation of efficiency, synergy and organization.
  • A talented communicator, with excellent oral and written communication skills and able to develop streamlined internal communication.
  • Detail oriented with the ability to simultaneously manage multiple complex projects under tight deadlines while continually finding opportunities for increased efficiency
  • Ability to work independently without supervision.
  • Experience working with software applications/databases used to maintain and update collection and inventory information.
  • Hold a valid Australian driving licence.
  • Enthusiasm for fine arts, jewelry and virtuoso objects and desire to expand knowledge.
  • Professional, discreet and courteous approach required at all times.
